Before you can assign a task to your employees, you'll need to create the "Task Template" first. This is because when you assign a task in Humi, what you're actually doing is assigning a "Task Template" as a task to your employees.
This tip is for all the busy folks out there who could add some streamlining to their processes – save time using "Task Templates" by bulk-assigning tasks and reusing them as many times as you need!

Assign a one-time task
If you want to assign a one-time task (without a "Task Template") to a specific employee, you can do so from their employee profile. Learn more here.
How to create a "Task Template"
People > Tasks > Tasks Templates > Create Task Template > Enter the task details > Create Template
- In "People," click on "Tasks" and select "Task Templates" from the dropdown menu.
- Click the "Create Task Template" button in the top right corner.
- Complete each section with the required task details.
- Once completed, click the "Create Template" button.
By default, only admins can create "Task Templates," however, managers can assign them to their direct reports. Therefore, we highly recommend that admins work with managers to create all necessary "Task Templates" they'd need.
"Task Template" sections
Name: the name of the task that needs to be completed. For example: "Organize quarterly lunch social," "Set up accounts," "Lunch Reimbursement," etc.
Description: enter the task details here.
File attachment required checkbox: if you check this box, the person completing the task must upload a file for the task to be marked as completed. This is a good option for any tasks that require documentation, such as licenses, certifications, etc.
+ Add subtask: subtasks allow you to create smaller tasks within the task. Subtasks are great for complex tasks that require multiple steps. They're a great way to monitor task progress and help employees stay on track.
- You can add up to 10 subtasks. After creating the first subtask, click enter to add additional subtasks
- Reorder the subtasks by clicking the six dots on the left side and dragging them to where you prefer
- Delete subtasks by clicking the "X Remove" button
Onboarding: use this task type for any tasks related to onboarding new employees.
Since the new employee must complete all "Onboarding" tasks before their first day, their start date will determine the due dates.
Examples of "Onboarding" tasks:
- Assign a laptop to the new employee and add it to the "Asset Tracker"
- IT to set up access
- Prepare a new key card
- Read the employee handbook
Offboarding: use this task type for any tasks related to offboarding employees leaving the company.
Since all "Offboarding" tasks must be completed before the employee's last day of work, their last day will determine the due dates.
Examples of "Offboarding" tasks:
- Collect all company items (mouse, keyboard, chair, computer etc.) and enter the return date in the Asset tracker
- IT to remove employee access
- Collect employee access card
General: use this task type to assign any task unrelated to "Onboarding" or "Offboarding."
The due dates for "General" tasks are not mandatory and are determined by the person creating the task.
Examples of "General" tasks:
- Plan and schedule team-building lunch
- Upload expense receipts for team-building lunch
- Renew CPR license
Applicable to: choose whether this task applies to "All Employees" or "Specific Employees."
If you choose "Specific Employees," you can filter by department, office, employee status or job title.
To be completed by: select the person who needs to complete the task. This could be the employee, their manager, or a specific person.
You can assign up to five employees to complete a task which allows you to create "shared tasks." This feature is really useful for scenarios where multiple people have access to a particular system, and any of them could complete the task.
Due date: select the date when the task should be completed by. For "General" tasks, due dates are optional, but if you set a due date, Humi will automatically send task reminders at the following intervals:
- Two days before the task is due
- The day the task is due
- Two days after the task is due
Now that you know how to create the "Task Template," the next step is assigning it to the employee(s).
"Task Templates" page
All "Task Templates" you create are displayed on the "Task Templates" page (People > Tasks > Task Templates).
When you create a new "Task Template," it'll automatically be added to this page and be displayed at the top of the list.
