Taking time off from work is an integral part of having well-rounded, healthy, and productive employees. Self-care and well-being have become incredibly important for navigating today's world, and we all need a break sometimes!

That said, your business still needs to function while employees are away, so it's important to manage time off requests strategically. 

If you received a time off request but are unsure what to do next – you're in the right place! This article will explain how to approve time off requests.

 

How to Approve Time Off Requests

In the approval flow, managers are typically designated as the time off approvers for their direct reports. However, admins can respond to time off requests from any employee across the company, and they also have access to additional functions.

There are a few places where you'll see time off requests:

  • Managers and Admins: In your Humi inbox on your dashboard
  • Managers and Admins: Notification email in your inbox from Humi HR
  • Managers: In the Time Off module under the My Teams tab
  • Admins: In the Time Off module under the Requests tab

Are you a Backup Approver?

Occasionally, you may receive a time off request if you are the Backup Approver.

How to Deny a Time Off Request

Manage Requests From Your Dashboard

Whenever there's a new time off request, you'll get a notification in your Humi inbox on your dashboard that looks like this:

Responding to a time off request is straightforward: just click directly on the alert in your inbox. This will take you to the View Request page, where you can review any potential overlapping requests from other team members before deciding whether or not you can approve the request.

Once you've considered all relevant factors, navigate to the Approval Flow section on the right side of the page and click the Approve or Deny button, depending on your decision.

Can't accommodate the request? 

If you must deny a time off request, you can leave a comment explaining why it was denied and/or give alternate dates as suggestions for a new time off request. This article explains denying a time off request in more detail. 

 

Manage Requests From the Notification Email

When there's a new time off request, you'll also receive a notification email from Humi HR (helper@humi.ca) that looks like this:

When you click the View Request button, your internet browser will open this page:

From here, you can click the Approve or Deny button to respond.

⚠️ Overlapping Requests Will Not Be Visible

Just a heads up, you won't be able to see any overlapping requests from this page. So, if you're considering approving a request here, ensure you've got all the information needed to decide

 

Managers: Approve Time Off Requests 

As the manager responsible for approving time off requests, you can conveniently access all the time off requests from your direct reports in one centralized location: the My Team tab in the Time Off module

From here, you can filter the requests by pending status to see all requests that have not yet been approved. By default, the most recent requests will always show at the top of the list.

How to Approve a Time Off Request

  1. From the My Team tab, in the Time Off module, click on the Pending request.
  2. You'll be directed to the View Request page, where you can view the employee's Time Off request details and check any overlapping requests in your department.
  3. When you're ready to make your decision, select the Approve or Deny button under the Approval Flow section. 

Can't Accommodate the Request?

If you must deny a Time Off request, you can leave a comment explaining why it was denied and give alternate dates as suggestions for a new Time Off request. Read more about denying a Time Off request here.

 

Admins: Manage Time Off Requests 

If you're an admin, you'll have full visibility of all Time Off requests across the entire company from the Requests tab in the Time Off module.

Given your expanded functionality, there are multiple ways for you to approve time off requests:

  1. Directly from the Requests Table
  2. From the View Request Page
  3. Force Approve or Deny the request

 

Approve From the Time Off Requests Table

If you're ready to approve the time off request, you can do it right from the Time Off Requests Table.

Simply locate the request and click on the three dots on the right side. From there, you can select either Approve or Deny from the dropdown menu.

 

Partially Approve a Time Off Request

If you're unable to approve all of the dates requested, you can edit the requested dates to partially approve the requested dates.

Just click Edit and adjust the dates accordingly. Once you've selected the dates you wish to approve, click the Approve button.

⚠️ Overlapping Requests Will Not Be Visible

Just a heads up, you won't be able to see any overlapping requests from this page. So, if you're considering responding to a request from here, please ensure you've got all the information needed to decide

 

Respond from the View Request Page

  1. From the My Team tab, in the Time Off module, click on the Pending request.
  2. You'll be directed to the View Request page.

    From here, you can view the request details and check if there are any overlapping requests in your department.approval-flow.png
  3. Once you've gathered the information you need to make your decision, click the Approve or Deny button under the Approval Flow section to respond. 

 

Force Approve the Time Off Request

As an admin, you can expedite the approval process by force approving or denying time off requests, bypassing the need for additional approvals.

This feature is handy in various scenarios, such as when an approver is unavailable due to vacation or when outdated requests linger in the system.

How to Force Approve Time Off Requests

  1. From the Requests tab, in the Time Off module, click on the pending request.
  2. You'll be directed to the View Request page.

    From here, click on the three dots in the upper right corner and select Force Approve from the dropdown options. force-approve.png
  3. You will get a warning pop-up as shown below:

  4. If you are sure that you would like to Force Approve the request, click the Force Approve button. 

The Approval Flow section will show that the request was Forced Approved and display the approver.

You're now an expert in approving time off requests! Don't forget to submit some of your own time off requests and take some well-deserved time off – you've earned it.
