Hiring – How to Add a New Employee to Employment Hero

After a successful recruiting effort, you've found the best candidate for the position, and you can now "hire" the employee to add them to Employment Hero (formerly Humi). This article will walk you through how to add a new employee and explain the information required for each section.

Getting started

How to Add a New Employee

To get started, head to People and click on the + Employee button in the top right corner. In the pop-up, select Hire Employee. There are four steps to complete when adding a new employee. We'll go over each one below.

Step 1: Employee Information

On the first page, Information, enter the employee's account information, compensation, and the employee role. All fields with an asterisk are required fields and must be completed to move on to the next step.

Payroll Settings

  • If you use Employment Hero (formerly Humi) Payroll and you'd like to add the new employee, turn on this switch to activate it, and the new employee's information will automatically sync.
  • If you have Payroll and you would not like to add the new employee, leave this switch turned off.

Once you've completed all of the required fields, click Next to continue to the next step.

Choosing to Collect an Employee’s SIN

To help make the platform accessible for employees everywhere, you can choose whether you'd like to collect an employee's Social Insurance Number (SIN). If turned on, the employee will be required to enter their SIN during onboarding to complete the process. This setting is handy for hiring someone who is working as a contractor or an independent consultant or if you're hiring someone from outside of Canada.

Learn how to turn off employee SIN collection by following the steps below:

If you don't have Payroll: If you do have Payroll:
  1. In People, under the Directory tab, click the + Employee button in the top right
  2. In the first step of the hiring process, scroll down to the Employee SIN section and make sure the switch is turned off and showing as the colour grey

If you won't be adding the new hire to Payroll, you can toggle off the requirement to sync their information.

  1. In People, under the Directory tab, click the + Employee button in the top right
  2. In the first step of the hiring process, scroll down to the Payroll section
  3. Ensure that the toggle for "Automatically sync employee information" is turned off and showing as the colour grey
  4. This will automatically turn off the requirement for the employee SIN as well

Important note: Do not sync to Payroll

When you add the consultant as an employee in Employment Hero (formerly Humi), DO NOT switch on the Payroll switch if you don't intend to pay them through the platform. Only employees paid through Employment Hero (formerly Humi) Payroll can be added to Payroll reports.

Step 2: Onboarding Documents

If you have documents that require the new employee's signature or acknowledgement, you can add these documents here. For example, you can include the employee handbook or health and safety policies.

Note

You can’t upload new documents here; only those already in your Template Library can be selected. Additionally, the only document types you can upload here are signing and acknowledgment. View-only and offer letter documents aren’t supported.

The employee must sign or acknowledge any documents added here before compleperting onboarding and becoming active within the platform.

You can also preview and edit documents you've added to verify or adjust them as needed. Note: Any edits made here will not affect the original template and are only one-time edits for the specific employee.

Step 3: Onboarding Items

Use the + Add button to add existing items to any category.

  • Custom Fields – Add relevant fields like parking spot number or t-shirt size. Learn more.
  • Onboarding Tasks – Add tasks for the employee or manager. Learn more.
  • Reminders – Select onboarding reminders.
  • Time Off Work Schedule – Define weekends and holidays. Learn more.
  • Time Off Policies – Add relevant policies and starting balances. Learn more.
  • Roles and Permissions – Assign manager or custom roles. Learn more.
  • Training Programs – Assign required training. Learn more.
  • Benefit Plan – Add benefit plans. Learn more.

Changes can be made from the employee's profile after creation.

Step 4: Review and Complete

Review the information and choose if you want to send a hiring questionnaire or customize the Welcome Message.

Employees must answer to complete Onboarding

If you set up new hire questions, employees must enter responses to move to the next step.

Click the Complete button. Employment Hero (formerly Humi) will send an invitation email with a "token link" for the employee to set their password and start onboarding.

Onboarding Troubleshooting FAQ

Onboarding link was not received
  1. Resend Invite: Profile 3 dots Resend Invite.
  2. Manual Workaround: Copy link from Account tab and send manually.
Onboarding link is missing from Account tab

Usually due to a Signing Order where the employee isn't first. The link populates once previous signers finish.

Onboarding link says "Expired"

Occurs if the session is interrupted. Admin must resend the invitation.
