Knowing where your employees are in life is integral to running a business smoothly. Whether a new family member is on the way or a loved one needs some extra help, Humi's Leave of Absence feature is here to make things easy.
This handy feature allows you to place an employee on leave for an extended period without removing them from your roster.

Important Note
When an employee is placed on a leave of absence, they will retain full access to their Humi account. This allows you to ensure that employees on leave are able to stay up-to-date with company announcements, view and access their job details and paystubs, and easily transition back to work when the time comes.
Employees on leave will still be counted toward your company's total seat count in Humi. While we don't recommend it, if you'd prefer to remove the employee from your seat count, you can terminate them in Humi instead.
About Time Off Accruals
Employees on a leave of absence will continue to accrue time off according to their policies' settings. If you'd like to stop their accruals, we recommend checking the employment standards in your province first. To learn how to remove an employee from a Time Off Policy, click here.
How to place an employee on a Leave of Absence
Unlike terminating an employee, placing someone on a leave of absence will allow you to maintain them on your employee roster. This is the perfect solution for when an employee needs to take time away from work with the intention of returning in the future.
Have a look through the tabs below to learn how.
- Head to People and click on the Directory tab
- Search for and select the employee you'd like to place on leave
- In their Employee Profile, click on the Three Dots in the top right corner
- Select "Place on leave"
- Fill in the details for the leave:

The Start Date
If the chosen start date is in the future, a banner will appear at the top of the employee's profile, stating that leave is upcoming. -
The End Date (if known)
This date must be at least one day after the start date. If no date is set, the leave will continue until an end date is added. -
The Leave Type
Choose the appropriate leave type from the available options:- Illness or injury
- Maternity
- Parental
- Leave of absence
- Compassionate care / Family caregiver

A Description (if needed)
You can add a description for additional details if needed. This information will only be visible to admins.

The Start Date
- When you're happy with the details, click Next
This step allows you to select predetermined tasks for your team to help ease the transition of your employee's leave. From collecting doctor's notes to returning company equipment, these tasks can be assigned as needed to ensure everyone has their ducks in a row.
- To add a task, click on the + Add button
- Go through the available tasks and check off the ones you'd like to include
- When you're ready, click Apply
- The selected tasks will be added to the relevant employee task lists
Important Note
Tasks in this section need to be set up ahead of time. Learn more about setting up tasks.
Once you've finished the setup for your employee's leave of absence, you'll be given a chance to review the details before confirming them.
When you're ready, click Set leave of absence to finish the process.
If the Employee is On Humi Payroll
If the employee is on Payroll, a second pop-up will show after setting up the leave to outline your next steps. Humi will help you with a few automated features, as well as offer a reminder to create a Record of Employment (ROE) for the employee.
Where to view leave details
Once you put an employee on a leave of absence, you'll be able to see the details about their leave in a few different places in the People Module. Have a look through the tabs below to learn more.
Note
The visibility of each of the following depends on the level of access an employee has to Humi. If you cannot see a particular view, please contact your admin to adjust your permission levels.
In People, the employee's status will show whether they are active, onboarding, terminated, or on leave. You can see this status in a few places, such as the Employee Profile shown above.
Note
Only admins and direct managers can see the leave type, and only admins can see the description (if given). Employees will only see that a colleague is on leave.
In the Employee Profile, under the Journey tab, you can see the date, type, and reason for the leave.
Note
Only admins can see the leave type and description (if given).
If an employee's leave is scheduled for a future date, admins and their direct manager will see a banner at the top of their Employee Profile under the Personal tab.
How to edit a Leave of Absence
Sometimes plans change. That's why we made editing a leave of absence super simple! Follow the steps below to learn how:
- Under People, head to the Directory tab
- Search for and select the employee you'd like to edit the leave
- In their Employee Profile, click on the Three Dots in the top right corner
- Select Edit leave
- In the popup, click on the Three Dots in the top right corner and select Edit
- Follow the steps to make any necessary adjustments
- When you're ready, click Complete
Need to End a Leave of Absence?
To end a leave of absence, simply add an end date to the leave by following the steps above.
Prorate a salary
If an employee is returning to work in the middle of a pay period and you wish to prorate their salary for this payroll, you'll need to edit their current compensation's effective date. The new date should match the date the employee will be returning to work.
Letting your employee know
Please note that Humi doesn't currently offer notifications for changes made to a leave of absence. This means that when an edit is made, you'll need to reach out to let your employee know.
