How to set up your Onboarding Settings

Giving your new employees a seamless, well-organized, and enjoyable Onboarding experience is essential to creating a great first impression. The Onboarding Settings in Humi allow you to easily ensure that every new hire has a successful start to their career with your company.

Humi allows you to define the information you need to collect from new hires, send a welcome message and Onboarding video, set up task reminders, and even send fun icebreaker questions. This article will explain how to customize your Onboarding settings and set your team up for success.

To get started, navigate to People, click on the Settings tab and select Onboarding from the dropdown.

Setting up each section

General Settings

The General Settings section includes four options that you can toggle on:

  1. Banking information is required for all employees
  2. Collect new employee's banking information during Onboarding
  3. Send hiring questionnaire to new hires by default
  4. Send a welcome message to new hires by default

To activate any of these options, click the switch to toggle it on. Once active, the icon will change from grey to green.

Important note

If all options are enabled, your employees must enter their banking information to complete the Onboarding process and become "Active" in Humi. In addition, the hiring questionnaire and welcome message will be sent to them by default.

Default Welcome Message

The default welcome message is what your new employees will see during step 1 of the Onboarding process.

Here's an example of what it looks like to your new employees:

To add or update your default welcome message, click "Edit" in the top right corner of the Default Welcome Message section, enter the message in the pop-up box, then click "Save."

Default Onboarding Video

An Onboarding video is an excellent tool for demonstrating your company culture, leaving a positive impression, and instilling confidence in joining your company.

You can include a video in this section for your new employees to watch during Onboarding. This video will automatically be added to the hiring flow and be displayed as an embedded video below your default welcome message. 

Important note

Humi requires a YouTube video URL, so your Onboarding video must be uploaded to YouTube.

How to add your Onboarding video

  1. To add a default Onboarding video, click "Edit" on the top right corner of this section
  2. Use the pop-up to enter a YouTube video URL and then hit "Save"
  3. The video you entered will now be available in the hiring flow as the default option for all employees

Note

You can change the video link for specific employees during the Review stage in step 4 of the hiring flow. Look for the Default Onboarding video section to replace the video link with the new video of your choice.

Important note

Once an employee's initial invitation to Humi has been sent, you can't edit the video link in their Onboarding flow.

Onboarding Reminders

Onboarding reminders are an excellent tool for ensuring everything is in place and ready for your new employee's first day.

Depending on the task, you can create Onboarding reminders for the employee, an admin, or a colleague and schedule them to be sent on the hire date, before the hire date, or after the hire date.

  1. To add a new default Onboarding reminder, click the "+ Onboarding Reminder" button in the top right corner
  2. Use the pop-up to enter the reminder details and click "Save"

How to view and edit your default Onboarding reminders

  1. To view or edit your existing Onboarding reminders, scroll down to the Onboarding reminders section
  2. Click the three dots on the right and click "edit"
  3. Use the pop-up to make any changes and then hit "Save" to update the reminder in Humi

How to delete an Onboarding reminder

  1. To delete an existing Onboarding reminder, scroll down to the Onboarding reminders section
  2. Click the three dots on the right and select "Delete"
  3. A pop-up will ask you to confirm your decision
  4. Click "delete" again to remove the reminder from Humi
New Hire Questions

Finally, the last section is New hire questions. These questions are meant to be fun, icebreaker-type questions that will help the new employee share a little bit about themselves. The answers to these questions will be shared in an introduction email sent to all active employees on the new hire's start date.

To help get your ideas flowing, here are some examples:

  • If you could be any animal which one would you choose?
  • Where do you want to go for your next vacation and why?
  • What's a secret talent that you have?

Important

If you set up new hire questions, Onboarding employees must enter responses to the questions to move to the next Onboarding step.

How to add a new hire question

You can add new hire questions for your new employees by clicking on the "+ New Hire Questions" button in the top right corner of the setting page. Then, use the pop-up to enter the new hire question and click "Save" to add it to Humi.

  1. To view or edit your existing new hire questions, scroll down to the New hire questions section
  2. Click the three dots on the right and click "edit"
  3. Use the pop-up to make any changes and then hit "Save" to update the question in Humi

  3. A pop-up will ask you to confirm your decision
