Welcome to Humi's ROE FAQ page! We understand that Record of Employment (ROE) submissions can sometimes be complex, and you may have questions about how the process works within Humi.

This guide provides clear answers to the most common ROE-related inquiries, from obtaining PDF copies to understanding reporting requirements. Whether you're filing an ROE for the first time or need clarification on specific blocks, we've got you covered.

Why doesn’t Humi provide PDF copies of ROEs once they've been filed?
Employers are responsible for issuing an ROE when an employee experiences an interruption in earnings, but they are not required to provide a copy of the completed ROE.

Employees can download a PDF version of their ROE through their My Service Canada Account once it has been filed with Service Canada.

If you require a PDF copy of an ROE submission, please email us with the employee’s name, and our support team will be happy to assist.

Why is there no pay period field under block 15C for an off-cycle payroll processed after an employee’s final regular payment?
ROEs only include hours and earnings from payrolls processed between the employee’s First Day Worked and Last Day Worked.

Even if an employee receives additional payments after their last working day, the Last Day Worked recorded in the ROE should be the last day the employee physically worked and received regular earnings or the final day of an approved vacation period.

If you process a payment after the pay period containing the Last Day Worked, you will need to manually update the ROE to include the insurable earnings from that extra payment within the appropriate pay period field.

Why does the ROE in Humi display pay period fields with 0.00 values?

This occurs when the system uses the employee's original start date instead of the date your company began processing payroll with Humi. If you see pay periods with 0.00 values, it means Humi does not have payroll records for those periods.

If you are issuing an ROE for an employee who started working before your company switched to Humi, you will need to adjust the ROE to reflect the first day of the first pay period processed in Humi. This will remove the pay periods with zero values.

We always advise new clients during implementation to ensure a smooth transition when changing payroll service providers, avoiding any gaps in ROE reporting.

When should we complete ROE block 17B - STAT pay?
You only need to complete ROE block 17B if the employee is receiving statutory holiday pay for holidays occurring after their Last Day Worked. Stat holiday payments that apply to the period before the employee’s last day do not need to be recorded in this field.
Can we automate requests for PDF copies of ROEs?
At this time, there is no automated process for receiving PDF copies of an employee’s ROE. If you require a PDF copy, please email us with the employee’s name, and our support team will be happy to assist.
How long does it take for Humi to file an ROE after selecting the "Submit ROE" button?

ROEs are filed within one business day after the Submit ROE button is selected.

If there is an issue preventing the ROE from being filed, the status will either remain "Pending" or appear as "Failed." If this happens, a Humi team member will follow up.

How can I check the status of my ROE submission?
You can track the ROE status under Payroll > Records > ROEs.
  • Open: You have not yet selected "Submit ROE."

  • Pending: The ROE has been submitted and is in process.

  • Submitted: The ROE has been successfully filed.

  • Failed: There was an issue, and a Humi team member will follow up.

On the finalized ROE, why does the total in block 15B not match the total earnings reported in the PP fields under ROE block 15C?
Service Canada has different requirements for the most recent pay periods to report for ROE block 15B & 15C based on the company’s payroll schedule.
See below for the requirements for ROE blocks 15B & 15C for each pay period type:

Since the totals recorded in ROE block 15B & 15C have different reporting requirements, therefore, the totals recorded in these fields will be different. 

Just a heads-up—if an employee’s time with the company is shorter than the standard reporting period, their ROE will only reflect the earnings they received during that time. For example, if someone was on a semi-monthly payroll but only worked for three months, their ROE would include just six pay periods’ worth of insurable earnings and hours.

My employee worked for several years, so why does the ROE only show insurable earnings and hours for the last year?
Service Canada only requires employers to report earnings and hours for a specific number of recent pay periods. If the employee applies for Employment Insurance (EI), only those recent periods are considered for eligibility.

Humi files ROEs on my behalf. How do I revise an ROE that has already been submitted?
Once an ROE is in a Submitted or Pending state, it cannot be modified through Humi. You will need to make amendments through Service Canada ROE Web.

If Humi has authorization to file ROEs on your behalf, you can request an amendment by emailing us with the employee’s name and details of the required revision. Our support team will be happy to assist.
