Adding view-only documents to the Company Documents drive is a great way to provide essential documents for employees to reference anytime.
Some examples of view-only documents you could include are:
- Office Layout
- Covid Policies
- General "How-To" documents
Do You Need a Signature or Prefer an Acknowledgement?
When you want to ensure employees have reviewed the documents but don't need their signatures, you can assign view-only documents for your team to acknowledge.

How to Add a View-Only Document
Summary
Documents > Select the Company drive > Click + Add Company Document > Upload the PDF document from your computer > Edit document name and add tags as needed > Click Upload

In Documents, select the Company Document drive. (You can only create documents for acknowledgement in the Template Library.)

Select the document you want to upload. Reminder: All documents must be formatted as PDF files.

The file's name will populate in the Document Name field, so you can edit it here if needed.

Tags can help you find specific documents using the search bar or filters. They're entirely optional but encouraged. Learn more about document tags here.
In the Tags field, you can select an existing tag. If an appropriate tag doesn't exist, you can easily add a new tag by typing it in the field and clicking the "enter/return" button on your keyboard. The new tag will be automatically created. -
Click the Upload button.
You can upload more documents to the same drive by clicking the Upload More Documents link in the bottom right corner.
Your view-only document is now in the Company Documents storage drive and can be seen by everyone. If you want to ensure your team has read the document, you can create an acknowledgment document in the Template Library. These require employees to acknowledge they've read the document but don't require a signature.
Troubleshooting Tips
- If you accidentally add a document to the wrong folder, you can drag and drop it into the correct folder afterwards.
- If you try to move a document from your private Template Library to the public Company Documents drive, you’ll see a warning that this action isn’t allowed. Instead, you must upload the document directly to the Company Documents drive and share it there.
