Have you ever received a time-off request only to realize you're not the right person to approve it? We understand how frustrating that can be, and we have good news!
Our Backup Approver feature eliminates confusion by ensuring that admins only receive time-off requests when the designated approver is unavailable.
In this article, we'll show you how to set up a backup approver and explain what to do if you’re assigned as one.
Manage Issues in the Approval Flow
Did you know the Backup Approver feature can be more than just a handy backup plan? It can also alert you when the designated approver isn't properly set up, which could indicate an issue in the approval flow.
Some scenarios when there's an issue with the approval flow may be:
- If a time-off request is made and the approver is in an Onboarding status
- If a time-off request is made and the approver is in a Terminated status
- If a time-off request is made and there is no one set up to approve it

How to Add and Assign a Backup Approver
To set up a backup approver in Time Off, follow these simple steps:
- Navigate to the Settings tab in the Time Off module.
- In the General Settings section, click Edit.
- Locate the dropdown menu in the third field and select the backup approver. The dropdown menu will only list active admins.
- Click Save to assign that admin as the backup approver.
By following these steps, you can ensure that someone is always available to handle time off requests, even when the designated approver is unavailable.
Important:
You can set up a backup approver at any time. It’s not mandatory, but it is very convenient.
What To Do If You’re the Backup Approver
If you’re the lucky one chosen as the backup approver, you’ll receive an email notification that looks like this when someone makes a time off request:
This email will provide a brief explanation and inform you that you've been designated as the backup approver for the request. You'll then have the option to approve or deny the time-off request. Click here to learn more about approving or denying a Time Off request.
Setting up a backup approver in Time Off is a safety net that ensures all time-off requests are promptly handled, even if the main approver is unavailable.
While it’s optional, having a backup approver adds convenience and peace of mind to your time-off management.
You can set this up anytime; being proactive now can streamline your workflow and boost efficiency.
Why not take a moment to set it up? Your future self will thank you!
