Switching payroll providers to join Humi Payroll was a great decision – we're so happy you're here, welcome!
We know you have lots on your to-do list so we're happy to share that you’ll only have to enter your "Payroll Year-to-date YTD" information once!
Before your first payroll run in Humi Payroll, you'll need to enter the YTD information from your previous payroll provider, generally referred to as your "Onboarding YTDs," into Humi.
"Payroll YTD" is the total amount (based on your employees' gross incomes) that your company has spent on payroll since the start of the year calendar year up until the current payroll period.
The information you provide in the "Onboarding YTD" should come directly from your payroll register or a YTD report because it enables Humi Payroll to accurately calculate taxes for the remainder of the year and accurately prepare T4s at year-end.
This is different from the ongoing "YTD" amounts accumulated as payroll is processed in Humi. These amounts will be available in the YTD report.
Things to do before starting
There are a few things to complete before your "YTD table" auto-populates with all necessary fields.
Start with adding all of your employees to Humi Payroll and have the following set up in Humi:
Add all employees to Humi Payroll
To add employees to Humi Payroll, you'll need to go into each employee's "Employee profile" and navigate to the "Job & Pay" tab.
In the first section, "Employment Information," click the "Pay" button to add the employee to Humi Payroll.
Once these are set up and assigned as needed, follow these steps to enter your "Payroll YTDs."
How to enter Payroll YTDs
In the simplest terms, entering your "Payroll YTDs" is a two-step process:
- Open your YTD table (Payroll > Records > YTDs).
- Enter the YTD information from your previous payroll provider directly into appropriate columns for each employee.
1. In "Payroll," navigate to the "Records" tab and select "YTDs" from the dropdown menu.
2. You'll be directed to the "Year-to-dates" page. The table will populate with all employees in Humi Payroll.
3. Now for the fun part – filling in the information!
Each applicable cell should contain the total amount paid from the beginning of the year up to the last payroll before your first payroll run with Humi Payroll.
You can treat the YTD table as you would an Excel spreadsheet and can copy and paste the information from your previous payroll provider's payroll register or YTD report directly into appropriate columns for each employee.
You can also drag figures from one column to the other, drag to fill multiple cells and all keyboard shortcuts for copy, paste, undo, and redo work.
Click the "Open fullscreen" link in the top right corner to see the spreadsheet in full screen.

The rows represent all employees who were paid within the tax year.

Helpful Tips about Benefits
If you have benefits that should be on this table but are not being displayed, this means they're not set up in Humi. Learn how to set up benefits here.
If the benefit columns are showing up, but some employees have cells that are "greyed out," these employees haven't been assigned to the benefit. Learn how to add employees to benefits here.
To fix this, go back to the benefit, assign the employee, and return to the YTD (Payroll > Records > YTD). The YTD table will update and include the newly added employee(s).
Understanding the YTD table columns
Every company will have a slightly different "YTD table" since there are many company-specific columns that vary, such as benefits, income types, and compensations, so we'll only explain the default columns here.
Regular pay – the total amounts paid to the employee including:
- Salary and wages
- Statutory holiday pay
Vacation pay – the total "vacation pay" paid to hourly or terminated salaried employees.
Bonus – the total amount paid to an employee, over and above the usual earnings, generally at the employer's discretion. There are two types of bonuses: "Work-Related" and "Discretionary."
Commissions – typically a percentage of services rendered or products sold paid to employees.
Retroactive pay – the total amount of delayed payments, also known as "back pay." This is the income owed to an employee from a previous pay period and paid out in another pay period.
Severance – total amount of wages paid to an employee whose employment has been "severed." You can read more on this here.
Canadian Pension Plan(CPP) – the total amount of employee CPP contributions remitted for each employee.
Employment Insurance (EI) – the total amount of employee EI premiums remitted for each employee.
Income Tax – the mandatory federal and provincial taxes deducted from each employee's pay.
Once you've entered all the information, you're done! The amounts that you've entered in the "Onboarding YTD" table will automatically be added to the ongoing "YTD amounts" and will be included in the "YTD report."
The amounts on your "YTD table" can be edited up until your first payroll is processed through Humi Payroll. After the first payroll run in Humi, the information on the "YTD table" becomes locked in and cannot be edited anymore.
