Add New Applicant

Humi offers applicant profiles which hold all the information you have gathered from applicants.

This profile is meant to serve as an informational overview of the applicant for employees who are helping conduct the recruiting process. Candidates will not be able to see their profile within Humi.

The first step of passing an applicant through your hiring process in Humi is to add their application to a job posting. There are three ways to accomplish this:

Adding Applicant Manually

The applicant can be added by an admin or someone on the hiring team by navigating to the “Applicants” tab in the Recruiting module and clicking on the “Add Applicant” button located in the bottom right corner of the screen. If you are not an admin, you will only be able to add applicants to a job post if you are part of the hiring team.

Adding Applicant Through Job Board

If someone applies through the job board, their profile will be automatically generated. The information they enter throughout the application will populate their profile. The details they are required to enter are based on the information you configured during the create job posting stage and the default questions offered by Humi.

Adding Applicant Through Integrated App

The applicant can submit their application through a third party platform and be added to Humi with the information they provide in the integrated app.

When someone completes their application through Indeed, the only required information is their name, resume, and phone number; this means that their profile will be incomplete and you will have to enter the other information manually.

Once an applicant is added through any of these methods, they are active in the system (unless they answer “no” to an auto archiving question), meaning they can be found within the funnel process for the job post they applied to. If an applicant has been archived by an auto archiving question that has been placed during the application process for a job post, and they are not found within the funnel process, you can still access their information by going into the applicant directory (for more information on archiving questions, click here - link to creating job post article).

Within Humi’s recruiting module, it is not possible to have the same applicant in two different funnels; if you desire to add an applicant to multiple postings, you must create two separate profiles for each job post. When someone applies to separate postings through Indeed or the job board, individual profiles will be generated for each application they submitted and they will be placed in both funnels. By navigating to an applicant’s profile, you can see what platform they applied through; this information will be available underneath the heading “Referred From” which is placed beneath the applicant’s name and rating.

Since only admins or special roles can access the applicant directory, you will need to ask an admin to do this for you or get a permission change if you have neither of those roles.

You cannot mass import resumes using Humi. You must create each individual profile and attach the applicant’s resume to the profile.

Add Applicant Information Manually

There are thirteen inputs that exist when manually adding an applicant:

  • First Name (required)
  • Last Name (required)
  • Email (required)
  • Phone #
  • Country
  • Postal Code
  • Job Posting (required)
  • Resume
  • Cover Letter
  • Skills
  • About
  • Experience
  • Education


This is where you enter the skills that the applicant possesses. Type in the skill and press enter.


Within this section you would enter a brief description of the applicant. This section is freeform, meaning you can write anything.


In this field you input the applicant’s work history. Any relevant information regarding their workplace endeavours would be placed here. This section is freeform.


Here is where you will enter the applicant’s educational history. Any relevant information regarding their educational experiences would be placed here. This section is freeform.

You are able to add the resume and cover letter to the applicant during this process. You can also add these documents once the applicant has been added to the Humi database. An applicant’s documents can be managed at any time, even if they have been archived.

It is not possible to input answers to additional or archiving questions when manually adding an applicant to Humi. If you want someone to have this information filled out, gear them towards applying through the job board.

Once you have added an applicant to Humi (or if they have been automatically added through Indeed or the job board), you will be able to edit this information at any time, even if the applicant has been archived. Applicants will not be able to access their own profiles.

View Applicant Summary

On this page you will be able to view all the information you entered during the process of adding a new applicant. If you wish to make any changes to what you entered, click the “previous” button located in the bottom left corner of the screen.
