Offboarding Tasks

Offboarding Tasks is a tool for keeping track of tasks that need to be completed when an employee leaves your company. You may delegate tasks to the offboarding employee, their manager, or any other person in the company to ensure a smooth offboarding experience. You may also manage outstanding tasks by sending out reminders to assignees.

A strong offboarding process can help to make the termination process more structured in a time that can be difficult.

Creating Offboarding Task

Offboarding Task templates are created and managed under the "Offboarding" tab in "People". This is where you can create tasks that can be applied to corresponding employee profiles.

Tasks are composed of the following fields:

  • Name & Description of the task
  • Assigned To: This is who is responsible for the completion of the task. Select Offboarding Employee, Manager, or a specific employee in the company.
  • File Attachment Required: Selecting this checkbox will allow the assignee to upload files in order to complete the task
  • Due Date:* The due date is relative to the last day of work, which is inputted during the termination flow. Select either no due date, On Last Day or a custom date.
  • Required For: Set up this task for all employees or a filtered set of employees

*If you assign a task to the Offboarding Employee, you are only able to set a due date before their last day of work.

Filtering tasks with criteria matching

Criteria filters can be put in place for tasks that need to be completed by certain groups of employees rather than all employees. These allow you to identify a specific group of employees that should be associated with the task you are creating.

Criteria filter categories include Department, Office, Employee Status, and Job Title. If an employee matches the criteria you have selected, offboarding tasks will be marked under as "applicable" when being applied to an employee's profile.

Applying tasks to an employee's profile

You can only apply offboarding tasks to an employee if admin has terminated the employee in Humi. This is because Humi requires their last day of work for Due Dates.

Once an employee is terminated, you can start applying offboarding tasks to their profile by clicking "Apply Tasks".

You will see a view of the task templates you created sorted accordingly to the matching criteria, with relevant tasks pre-selected.

If you would like to create a one-off tasks that is only relevant to the individual employee, select "Create New Task". This task will only be saved onto the current employee's profile and can not be copied across other profiles.

Notifications & Reminders

Automatic email notifications will be sent out the assignee of each task as soon as a task is applied to an employee's profile. Email reminders are sent out to assignees 5 days prior to the due date, on the due date, and 3 days after due date for incomplete tasks.

Reminders can be set out at any time by an admin or manager on outstanding tasks by clicking "Remind" in 3 dots icon menu on either the employee profile or their Tasks dashboard.

Managing Tasks

Admins can view all outstanding onboarding and offboarding tasks for all employees by going to the Tasks dashboard. The Tasks dashboard can be found on the Home page, next to Notifications.

Note that offboarding tasks will only be found by filtering 'Company'.

Completing Tasks

Tasks can be marked as complete by clicking the checkbox next to the task on either the employee profile's "Offboarding" tab (as admins or manager) or on the tasks dashboard (as admins, managers, or employees).

Once a task is marked as complete, it will fall under the "Complete Offboarding Tasks" section on the employee profile or under the "Complete" tab on the Tasks dashboard, with a record of who completed the task and when it was completed.
