Creating an Offer Letter Template

Before you can send an offer letter to a candidate, there must be at least one offer letter template in Humi. Offer letter templates can be created just like any other document in Humi. Here's a quick overview of how you can create an offer letter template:

  1. Navigate to "Documents" in the left-hand sidebar
  2. Click the "+ Document" button
  3. Select the "Offer Letter Template" option
  1. Upload a pdf file, give the document a name, and click "Create"
  2. Populate your document with the fields from the left-hand side. (Tip: Additional fields such as Compensation Rate, Contract End Date, and other fields are accessible under "Textbox")

  1. Click “Send” to save the document

Sending an Offer Letter from the Offers Tab

Offer letters can be sent to candidates by following these steps:

  1. Navigate to "People" on the left-hand sidebar
  2. Click the new "Offers" tab, and then click "Send Offer Letter"
  3. In the first step, you will be prompted to fill out the candidate's details
  4. In the second step, you will be prompted to select an offer letter template. Click the "Preview Template" button if you'd like to view the template you are selecting.
  5. In the third step, you can fill out the fields you added to the offer letter template. The values you input on this step will be added to the letter when you send it to the candidate.
  6. Finally, review the details of the offer letter, and click Send Offer!

Sending an Offer Letter from the Recruiting Module

For recruiting admins, you can easily send an offer letter directly from an applicant profile. In the upper-right hand corner, click on the three dots, and then click "Send Offer". This will redirect you to the Offers tab to enter the rest of the candidate's information and send the offer.

Viewing and Managing Offer Letters

Clicking on "People" on the left-hand sidebar, and then "Offers", you can view all past and current offer letters. Click on an offer in the table to view its details.

Offer details page

The offer details page shows you everything you need to know about the selected offer. You can view:

  • Candidate details — this includes the candidate's name, contact information, and notes
  • Offer details — this includes the template used, expiration date, and other offer details
  • Offer history — this includes the current offer, as well as any past offers that have expired or been withdrawn
  • Offer progress — this indicates the status of every step in the offer process, including the date sent, date seen by the candidate, date signed, and the date the candidate was hired

From the offer details page, you can complete the following actions:

  • Hire the candidate — with the "Hire Candidate" button
  • Add or edit candidate notes — under the "Candidate Information" section
  • Revise the offer — under the "Current Offer Details" section. Revising an offer will invalidate the pending offer, and allow you to resend an updated offer to the candidate.
  • Download the signed offer letter — if and when the offer letter was signed
  • Withdraw the offer — via the three dots in the upper-right hand corner, which will deactivate the candidate's offer letter link
  • Delete the candidate — via the three dots in the upper-right hand corner, which will deactivate the candidate's offer letter link and delete this offer from the Offers table
  • Decline on behalf of the candidate — via the three dots in the upper-right hand corner, if the candidate informs you via other means that they would like to decline the offer

Signing an Offer Letter as a Candidate

Please note that the candidate must either sign the offer or contact you via other means in order to request a revision. Candidates do not require a Humi account in order to sign offer letters. They can securely open the offer letter via a link they will receive by email.

If an offer is withdrawn, revised, expires, or the candidate is deleted, their link will no longer be active and they will not be able to access the offer letter.

  • An offer letter has been signed by a candidate
  • An offer letter has expired
