Payroll Guide, Section 2 - Time & Attendance

The actual shifts listed in Ameego's Time & Attendance page is where we'll draw the data for your payroll export. To ensure accuracy and consistency we recommend reviewing this data on a daily basis and make adjustments as required. The data can be managed differently depending on the type of Ameego integration that you use. 

The three types of Ameego integrations are listed below. Read the section that is applicable to your Ameego configuration to understand the options available to manage this important payroll data. 

  1. Time & Attendance shifts via POS syncing
    • Shifts in Time & Attendance are synced from your POS.
    • You will NOT see an ‘Edit’ link to the right of these shifts in Ameego.
    • These shifts must be edited in your POS and resynced back to Ameego. 
  2. Time & Attendance shifts via Ameego Time Clock
    • Shifts in Time & Attendance are imported from the Ameego Time Clock module.
    • You WILL see an ‘Edit’ link to the right of the shift. 
  3. Time & Attendance shifts via importing published Ameego schedules
    • Shifts in Time & Attendance are imported using the ‘Import projected shifts for this day’ link. This option will import your published schedules as your actual labour, allowing you to edit the shifts as required.
    • You WILL see an ‘Edit’ link to the right of the shift.

1. Time & Attendance shifts via POS syncing

If your Time & Attendance page is populated by syncing the information from the POS system, you will not have the ability to edit these shifts in Ameego. These shift edits must be performed on your POS system. It is important that these edits are done in a timely manner (within 7 days of the actual shift) to ensure that we automatically sync the changes into Ameego.

Each morning when Ameego syncs with your POS, we sync the sales & labour from the day before as well as the previous 7 days of labour. This should be sufficient to update Ameego with any adjustments that were done within the week. 

If you have made any changes to the shifts in your POS on the same day that you will run the payroll export in Ameego, you should trigger a ‘Resync Historicals’ sync prior to exporting your payroll. The ‘Resync Historicals’ button can be found on any page in the Intel section, and will re-sync in the past 7 days of sales AND labour. This function should update Ameego within 30 minutes. 

If you have made any changes to the shifts beyond the past 7 days, you will need to contact our support team to resync your labour beyond the past 7 days. Click the ‘Open Support Ticket’ option in the login drop down menu in Ameego Manager to open a support ticket.  

Important setting flag for break rules

If you have break rules setup in your global settings, be sure to observe the ‘Apply break rules for actual labour’ flag. If your employees are clocking in/out for breaks on the POS, this flag should be set to ‘NO’ so that unpaid breaks are not applied twice.

This setting can be found by clicking on ‘Dashboard’, then ‘Settings’.

 

2. Time & Attendance shifts via Ameego Time Clock

Some locations use the Ameego Time Clock module. Shifts in the Ameego Time & Attendance page are imported from the Ameego Time Clock. You will have the ability to edit the shift times, breaks, wages and other and other important information as it relates to the payroll export. 

All shifts in Time & Attendance can be adjusted  by clicking on the edit pencil icon on the right of the shift. You will be able to edit the following items:

  • Shift start & end times
  • Break start & end times
  • Add an end time to a shift if it was left unclosed
  • Change the department of the shift
  • Change the wage for the shift
  • Add or remove a break
  • Flag a break as paid
  • Delete the shift

If you have break rules in setup in your global settings, be sure to observe the ‘Apply break rules for actual labour’ flag. If your employees are clocking in/out for breaks on the the Time Clock, then this flag should be set to ‘NO’ so that unpaid breaks are not applied twice.

3. Time & Attendance shifts via manually importing from schedules

Some locations will populate the Time & Attendance page by manually importing published schedules for the day. After importing the shifts, they can be adjusted  by clicking on the edit pencil icon on the right of the shift.

Follow the steps below to manually import your scheduled (published) shifts for a day.

  1. Navigate to the Intel tab, then click the ‘Time & Attendance’ tab. 
  2. Using the calendar, select the date you want to import the shifts for.
  3. Click the ‘Import projected shifts for this day’ link.
  4. Review the confirmation box for accuracy and click ‘Continue’ to import the shifts.
  5. You can adjust any of the following shift details by clicking the edit pencil icon to the right of the shift. 
  • Shift start & end times
  • Break start & end times
  • Add an end time to a shift if it was left unclosed
  • Change the department of the shift
  • Change the wage for the shift
  • Add or remove a break
  • Flag a break as paid
  • Delete the shift
  • You can choose another date from the calendar or advance to the next day by using the '>>' arrow. Repeat the steps above to import the scheduled shifts for each day required.

    Important settings for breaks and Ameego break rules

    If you have break rules in setup in your global settings, be sure to observe the ‘Apply break rules for actual labour’ flag. This setting can be found by clicking on ‘Dashboard’, then ‘Settings’.

    • If you set this flag to YES, the unpaid break rule will apply to all the actual shifts that meet the requirement of the break rule. 
    • If you set this flag to NO, you will have to enter all the breaks via the ‘Edit Shift’ screen.

    If a break has been added to a specific shift(s) on the schedule, the break will appear on the imported shift. The break may have been flagged ‘paid’ or ‘unpaid’. These flags will be noted on the break in Time & Attendance.
