Section 2 - Employee and Manager Time Clock Functions

In this section we will cover the employee and manager functions in the Ameego time clock. We will cover the following subjects in this section:

  1. Employee Time Clock Functions - Punching in and out for a shift
  2. Employee Time Clock Functions - Punching out and in for a break
  3. Manager Time Clock Functions - manual punch in (add a new or missing shift)

1. Employee Time Clock Functions - Punching in and out for a shift

  1. Touch on your name / shift on the left side of the screen to expand the options. Touch ‘Punch in’.
  2. Enter your PIN number when prompted and touch continue.
  • If you are punching in too early or late for your shift you may see a red pop-up message above the keypad indicating that a manager override is required. Have a manager assist you with this.
  • Your name will appear on the right side of the screen under the ‘Currently Punched In’ list.
    • If you have punched in early or late for your shift your start time will display in red.

    1. Touch on your name / shift on the ‘Currently Punched In’ list on the right side of the screen to expand the options. Touch ‘Punch Out’.
    • If an employee forgot to sign out or has gone past the shift end time the end time will turn red.
    • If an employee has gone into overtime their ‘current hrs’ amount will turn red.
  • Enter your PIN number when prompted and touch continue.
    • If you are punching out too early or late for your shift you may see a red pop-up message above the keypad indicating that a manager override is required. Have a manager assist you with this.
  • You will briefly see a green message box appear that says ‘You have successfully punched out’.
    • If an employee forgot to sign out or has gone past their end time the end time will turn red.
    • If an employee has gone into overtime their current hours will turn red.

    1. Touch on your name/ shift on the ‘Currently Punched In’ list to expand the options.
    • If a break has been configured for the shift, the break times will appear under ‘scheduled breaks’.
  • Touch ‘Go on Break’. 
    • Depending on the global settings, you may need a manager override to perform this function.
  • Enter your PIN number when prompted and touch continue.
  • A red message box will appear that says ‘On break since…’ displaying the time when you clocked out for the break and the ‘Return from Break ‘ button.

    1. When you’re ready to clock back in, find your name / shift on the right side of the screen and then touch ‘Return from Break’.
    2. Enter your PIN number using the number keypad and touch continue.
    3. You will now be clocked back in for your shift and your time spent working will be tracked.

    Note: If an employee has forgotten to punch out for a scheduled break, the break time will turn red and you will see a note on the shift reading “did not break”.

     

    3. Manager Time Clock Functions - manual punch in (add a new or missing shift)

    Sometimes you have to call in an employee that is not scheduled to work. You can easily add the new shift and clock in the employee using the steps below. 

    1. Touch the ‘Manual Punch In’ button on the upper left side of the screen. 
    2. You will be taken to the ‘Manager Authorization Required’ screen. Choose your name from the list and enter your PIN.
    3. Select the department of the shift that you’d like to add.
    4. Select the employee working the shift.
    5. Enter the start time for the shift. 
    6. Do not add an HR note for this function (we will cover HR notes in the next section)
    7. Touch the continue button.

    The shift has now been created and the employee will be ‘punched in’ If the start time you set is current. If the start time you set for the shift is in the future (same day) the shift will only appear under the ‘Currently Punched in’ list once we reach the start time you entered.

    4. Manager Time Clock Functions - Manager Functions button & HR notes

    Manager Functions button & HR notes

    The 'Manager Functions' button can be found within an employee's shift on the left side of the time clock screen (not punched in). The purpose of this function is for a manager to punch in or to add an HR note for an employee who is scheduled for the day. The HR notes available in this function are: late, no show, personal emergency, or called in sick.

    Applying an HR topic of ‘No Show’, ‘Called in Sick’ or ‘Personal Emergency Leave’ will not punch in the employee. The purpose of these topics is simply to record the HR note. The employee name and shift does appear under the ‘Currently Punched in’ list in grey, but is only there to indicate that the HR topic & note has been applied.

    Applying the ‘Late’ HR topic will clock in the employee and record the HR note as well. When applying this HR topic, set the time the employee actually started their shift and touch ’Continue’. The employee will display in the ‘Currently Punched In’ list and the HR note for ‘Late’ has been applied.

    All HR note topics require notes in the area provided before you can continue and will be automatically logged in Ameego Manager under People, HR Manager.

    Edit Shift button

    The 'Edit Shift' button can be found within an employee's shift on the right side of the time clock screen (currently punched in). The purpose of this function is to edit a start time and/or add an HR note to an employee that is currently punched in. Touch on an employee's name / shift to expand and see this option. You can simply change a start time for an employee or apply an HR note of ‘Late’ or ‘Personal Emergency Leave’ if applicable. 

    If you apply the HR topic of ‘Personal Emergency Leave’, this will immediately clock out the employee (recording the hours worked so far) and also apply the HR note.

    Follow the steps below to ‘Edit a Shift’.

    1. Touch the desired shift on the right side of the time clock screen to expand and then touch ‘Edit Shift’.
    2. You will be taken to the ‘Manager Authorization Required’ screen. Choose your name from the list and enter your PIN.
    3. Change the start time if required.
    4. Select an HR topic if required and type a note in the section provided. 
    5. Choose ‘Continue’.

    Manager Time Clock Functions -‘Go on Break’ or ‘Punch Out’

    These function buttons are available for the employee to utilize, but a manager can do either of these functions on behalf of the employee. Select the ‘Manager Override’ button in the key pad screen when prompted for a PIN. Follow the same steps as described above to perform these functions on behalf of the employee.
